How we look after your information

Plain English, no small print. Last updated 14 September 2026.

Details marked [to confirm] still need the hub's official contact information filled in.

1. Who we are

Truckers Hub (Beyond Priceless) runs this site and the hub on the N1 at Beaufort West. Under POPIA — the Protection of Personal Information Act, 2013 — we are the "responsible party" for the information described here.

  • Registered name: [to confirm]
  • Information Officer: [to confirm]
  • Email for privacy requests: [to confirm]
  • Address: [to confirm]

2. What we collect

Only what the service needs to work:

  • Your account: name, email address, phone number, and if you add them, your company, truck make and model, and licence class.
  • Your activity on the hub: driver level, points, courses completed.
  • Incident reports: location, time, type of incident, how serious it is, and anything extra you choose to add — a description, photos, and a vehicle registration number.
  • Driver verification, only if you choose it: your SA ID number or a photo of your driver's licence, plus the licence code and expiry date.
  • Reports from people who are not signed in: the report itself, and a name, phone number or email only if they give one.
  • Basic technical information your device sends when it loads a page, such as the approximate area your internet connection is in.

3. Why we collect it and on what legal ground

  • To act on incident reports and get help to people on the road — this protects a person's life or health (POPIA section 11(1)(d)) and is in the legitimate interests of drivers and the public.
  • To run your account, rewards and courses — you agree to this when you join, and it is needed to provide the service you asked for.
  • To confirm you really are a truck driver before rewards or referral prizes — with your consent, which you give by choosing to verify.
  • To keep the site safe and prevent false or abusive reports — our legitimate interest.

We do not sell your information and we do not use it for advertising.

4. Sensitive information

POPIA treats some information as "special personal information" — including ID numbers and anything that reveals health or criminal conduct. An incident report can contain this, and so can driver verification. We handle it carefully:

  • ID numbers are scrambled (hashed) as soon as you send them. Only the last four digits stay readable, so a reviewer sees ••••••• ••1234.
  • Licence photos sit in private storage. Only a reviewer can open them, through a link that expires in two minutes, and every single view is written to an audit log.
  • Incident details are visible only to hub administrators and, where a life is at risk, to the responders we alert.

5. Anonymous and guest reports

You can report anonymously. If you tick anonymous, your name is not attached to the report. If you report without an account and leave contact details so we can come back to you, those details are hidden from the general admin view, can only be revealed by an administrator (which is logged), and are deleted automatically after 180 days. The report itself stays, as a safety record.

6. Who else sees your information

  • Hub administrators, who review reports and verifications.
  • WhatsApp (Meta Platforms), used to send urgent incident alerts to the responders on duty. The alert contains how serious it is, the type, the location and the time.
  • Our hosting and database provider, which stores the site's data for us.
  • The police, emergency services or the National Human Trafficking hotline (0800 222 777), where someone's safety is at risk or the law requires it.

7. Information leaving South Africa

Our hosting provider and WhatsApp process information on servers outside South Africa. POPIA section 72 allows this where the receiving country or the provider's own terms give protection similar to POPIA, which is the basis we rely on. By using the site you understand that this transfer happens.

8. How long we keep it

  • Your account: until you ask us to delete it.
  • Incident reports: kept as a long-term safety record, because patterns across months are what make the reports useful.
  • Guest contact details: 180 days, then deleted automatically.
  • Verification documents: kept while your verification is valid, so we can show why a driver was approved.
  • Audit logs of admin actions: kept, because removing them would defeat their purpose.

We never permanently delete a report someone submitted in good faith.

9. How we protect it

  • All traffic runs over an encrypted (HTTPS) connection.
  • Access is limited by role — a driver can only ever see their own information.
  • Sensitive views, such as opening a licence photo or revealing a guest's phone number, are recorded in an audit log.
  • ID numbers are stored hashed, never in full.

10. Your rights under POPIA

You may at any time:

  • Ask what we hold about you and get a copy.
  • Ask us to correct or complete anything that is wrong.
  • Ask us to delete your account and personal details.
  • Object to how we use your information.
  • Withdraw consent — for example, remove your verification documents.
  • Complain to the Information Regulator if you are not happy with our answer.

Write to us at the privacy email above. Formal access requests use the Regulator's Form 2, and objections use Form 1. We answer within 30 days.

11. Cookies and what we store on your device

We keep this simple. We use essential storage only — there are no advertising cookies, no tracking pixels, and no analytics profiling of you.

  • Sign-in: a token stored on your device so you stay signed in between visits. Without it you would have to log in on every page.
  • Your choices: small settings such as whether you have dismissed the cookie notice.
  • Maps: when a map is shown, Mapbox loads from its own servers and may store technical data so the map draws quickly.

Because this storage is strictly necessary to provide the service you asked for, POPIA and the ECT Act do not require us to ask permission first — but we tell you anyway. You can clear this storage at any time in your browser settings; you will simply be signed out.

12. Children

This service is for licensed truck drivers and adults aged 18 and over. We do not knowingly collect information about children. If a report happens to concern a child at risk, we treat it as an urgent safety matter and pass it to the right authorities.

13. Changes to this policy

If we change how we use your information we will update this page and change the date at the top. Significant changes will be shown to you in the app.
